Job Overview:
We are seeking a highly organized and detail-oriented Secretary to join our team in the United Arab Emirates. The successful candidate will play a crucial role in providing administrative support to the management team and ensuring the efficient operation of the office. The ideal candidate should have excellent communication skills, be proficient in office software, and possess a strong commitment to maintaining confidentiality and handling sensitive information.
Responsibilities:
1. Administrative Support:
· Provide comprehensive administrative support to the management team.
· Manage and organize the office environment, ensuring a smooth workflow.
· Schedule and coordinate meetings, appointments, and travel arrangements.
· Handle incoming and outgoing correspondence, including emails and phone calls.
2. Document Management:
· Prepare and maintain documents, reports, and presentations.
· Organize and manage physical and digital files for easy retrieval.
· Assist in the creation and distribution of official documents.
3. Communication:
· Serve as a point of contact between the management team and internal/external stakeholders.
· Draft, proofread, and edit correspondence and reports.
· Maintain professionalism and confidentiality in all communications.
4. Office Operations:
· Manage office supplies and equipment, ensuring availability for daily operations.
· Coordinate with vendors and service providers for office maintenance and support.
· Assist in the implementation and maintenance of office policies and procedures.
5. Calendar Management:
· Maintain and update the management team’s calendars with appointments and events.
· Remind executives of upcoming commitments and responsibilities.
6. Meeting Support:
· Prepare meeting agendas and take minutes during meetings.
· Coordinate logistics for meetings, including room setup and catering if necessary.
7. Travel Coordination:
· Arrange travel itineraries, accommodations, and transportation for business trips.
· Ensure travel plans align with the organization’s policies and budget.
8. Confidentiality:
· Handle sensitive information with discretion and maintain a high level of confidentiality.
· Uphold ethical standards and contribute to a positive and respectful work environment
